Payments and balance: top-ups, cards, discounts and VAT

8 min readUpdated

You pay for every order you place with Printen.eu up front: from your balance or with your saved card. In this article you learn how to top up, which payment method suits you, what happens when your balance is too low, and how discounts, VAT and refunds work. You manage all of this in the **Balance & payment** tab of your dashboard.

How do I top up my balance?

Your balance is prepaid credit that we use to pay for your orders. You top it up with iDEAL or a payment card on a secure payment page.

The top-up block in the Balance & payment tab.
  1. Open the tab

In your dashboard, go to Balance & payment. Your current Balance is shown at the top.

  2. Enter an amount

Type the amount under Amount in euros. The minimum is €25 and the maximum is €10,000 per top-up.

  3. Pay

Click Top up. You go to a secure payment page and pay with iDEAL or your card.

  4. Check your balance

After paying you return to your dashboard automatically. Once the payment is confirmed, usually within seconds, the amount appears in your Balance and in the Transactions list as Top-up.

How do I save a payment card?

A saved card lets you pay per order and use automatic top-up. You save the card once on a secure payment page. We never see or store your full card number ourselves.

  1. Find the card block

Open Balance & payment and find the Saved card block.

  2. Start saving

Click Save a card. You go to a secure payment page.

  3. Enter your card details

Enter your card and confirm with your bank if asked. Nothing is charged at this point.

  4. Back to your dashboard

You return automatically. Saved card now shows the brand and last digits of your card.

  • Save a different card: replaces your current card with a new one, for example when your card expires.
  • Remove card: removes the card. Note: after that you can no longer pay per order by card, and automatic top-up stops working.

Which payment method should I choose: Balance or Card per order?

Under Payment method you choose how all your orders are paid. This is a setting for your whole account, not per order. You can change it at any time; the new choice applies to orders that come in after that.

Payment methodHow it worksUseful if
Balance (prepaid)Each order is deducted from your balance as soon as it is submitted. You want fixed budgets, prefer paying by iDEAL, or have many small orders and want one overview of your spending.
Card per orderEach order is charged separately to your saved card at the moment it is submitted. You do not want to pay in advance, your volumes vary, or you use your card statement as your overview.
  1. Open the setting

Go to Balance & payment and find Payment method.

  2. Choose an option

Select Balance (prepaid) or Card per order. The card option can only be selected once you have saved a card.

  3. Save

Click Save. From now on, new orders are paid this way.

How does automatic top-up work?

With Automatic top-up we refill your balance using your saved card. You therefore need a saved card for this.

  1. Switch it on

In Balance & payment, tick the Automatic top-up box.

  2. Choose the threshold

Under When the balance drops below (euros), enter the amount below which we should top up, for example €50.

  3. Choose the amount

Under Top up with (euros), enter how much we then add, for example €200.

  4. Save

    Click Save.

  • When your balance drops below the threshold, we charge the set amount to your card. That amount is always at least the €25 minimum.
  • If an order comes in that costs more than your balance, we top up at least the shortfall, even if that is more than your set amount. That way the order goes through straight away.
  • Besides the check on every order, we also check regularly whether your balance is below the threshold.
  • Every automatic top-up appears in Transactions as Automatic top-up.

What happens if my balance is too low or my card is declined?

An order only goes into production once it is paid. If your balance is too low, the order waits safely until there is enough balance. Nothing is charged in the meantime.

What happens to an order when your balance is too low.
  • The order gets the status Awaiting balance. On your Overview, Alerts shows how many orders are waiting, and through the API you receive the webhook event order.awaiting_funds.
  • If Automatic top-up is on, we first try to charge your card. If that works, the order goes through immediately.
  • Otherwise the order continues by itself after your next top-up. We retry waiting orders right after a top-up and also every 15 minutes.
  • Do not want to wait? In Orders, click Retry next to the order.

If you pay with Card per order and your bank declines the payment, the order gets the status Payment failed. You then receive the webhook event order.payment_failed.

  1. Find the cause

Usually the card has expired, the limit has been reached, or your bank wants an extra confirmation.

  2. Update your card

If needed, save a new card with Save a different card, or switch to Balance (prepaid) and top up.

  3. Try again

In Orders, click Retry next to the order, or do it through the API. The order continues as soon as the payment succeeds.

How much discount do I get?

As a reseller you get a discount on the consumer price of every product, including all selected options. The more you spend in total, the higher your discount.

TierTotal spendDiscount
1From your first order10%
2From €50015%
3From €1,00018%
  • Total spend is the total of all your charged orders. Every paid order counts; a refund is deducted again.
  • You move up to the next tier automatically as soon as you pass the threshold. There is nothing to apply for.
  • On your Overview, Your discount shows your current percentage and a progress bar, for example €120.00 more spend until 15% discount.
  • The discount is also included in every quote through the API (discountPercent).

How do VAT and invoices work?

You are the customer on our invoice, not your end customer. The VAT we charge depends on the country of your billing address and your VAT number. These are the same rules as in our regular webshop.

Your companyVAT on your orderNotes
Based in the Netherlands21% Dutch VATYou can usually reclaim this VAT as input tax.
Based in another EU country, with a valid VAT number0%, reverse chargedYou declare the VAT yourself in your own country.
Based outside the EUNo Dutch VAT (export)Local import duties or taxes may apply on delivery, depending on the country.
  • A top-up is a prepayment. We calculate VAT per order, not on the top-up.
  • A quote through the API shows vatTreatment, vatRate and vatCents per order, so you know in advance what you will pay.
  • Your end customer never receives an invoice or any document with prices from us. You handle the sale to your customer and the VAT on it yourself.

How do I read my transactions, and how do cancellations and refunds work?

At the bottom of Balance & payment you find the Transactions table. Every change to your balance is listed there with its date, type and amount.

TypeWhat it meansEffect on balance
Top-upYou topped up yourself with iDEAL or card.Up
Automatic top-upWe charged your card because your balance dropped below the threshold.Up
OrderAn order was paid from your balance.Down
RefundA cancelled order was refunded to your balance.Up
AdjustmentA manual change made by us, for example after discussing an order with you.Up or down

You can cancel an order as long as it has not gone into production yet.

  1. Find the order

Go to Orders and find the order in the list.

  2. Cancel

Click Cancel and confirm. The button is only shown while the order is not cancelled, shipped or delivered.

  3. Check the refund

If you paid from your balance, the amount is returned immediately and shows as Refund in Transactions. If you paid with Card per order, we refund it to your card; how quickly it appears on your statement depends on your bank.
